Standard Booking Conditions
Applies to all tours operated by Ayubowan Escapes within Sri Lanka only.
1. Your Booking Contract
Your booking is made with Ayubowan Escapes (Pvt) Ltd, a registered travel company in Sri Lanka. The contract starts when we send your confirmation in writing. If someone books on your behalf, they accept these conditions for you and your group.
2. Your Privacy
We collect your details only to arrange your trip. We never sell or share your data. If you’re booking for others, you confirm you have their permission to provide their information.
3. Payments & Deposits
- A 30% deposit is required to confirm your booking.
- Full payment is due 30 days before your tour starts.
- If booking less than 30 days before, the full amount is required upfront.
4. Tour Prices
All prices are in USD per person unless stated otherwise.
Prices may change with currency, fuel, or hotel rate changes. Once booked and confirmed, your price is locked.
5. What’s Included
Each tour includes:
- Accommodation (twin/double share)
- Private vehicle & chauffeur-guide
- Entrance fees for listed activities
- Meals as listed (usually breakfast)
- Government taxes and service charges
6. What’s Not Included
Unless stated, the price does not include:
- International flights
- Sri Lanka visa (ETA)
- Travel insurance
- Tips & personal expenses
- Optional activities not listed
- Lunches and dinners (unless noted)
7. Cancellation by You
If you cancel, the following applies:
- More than 30 days: Deposit is kept as credit
- 15–30 days: 50% cancellation fee
- 7–14 days: 75% cancellation fee
- Less than 7 days or no-show: No refund
Cancellations must be sent by email.
8. Changes by You
You can request date or group changes up to 15 days before travel. Changes within 14 days may not be possible and may result in extra fees.
9. Cancellation by Us
We rarely cancel tours. If we must (e.g. natural disasters, strikes), you’ll receive:
- A full refund, or
- A credit to use later, or
- An alternative trip offer
10. Force Majeure
Events beyond our control (e.g. floods, pandemics) may affect your trip. In these cases:
- We’ll offer new dates or partial refunds (less unrecoverable costs)
11. Travel Insurance
We highly recommend buying travel insurance that covers cancellations, medical care, and emergencies. It’s your responsibility to be protected during your trip.
12. Passports & Visas
You must have:
- A valid passport (6+ months from tour end)
- A Sri Lanka ETA visa (apply online) www.eta.gov.lk
We can guide you but are not responsible for visa issues.
13. Health & Fitness
Please tell us in advance if you have health or mobility concerns. Some trips involve light walking or activities. We may ask for a fitness declaration for certain itineraries.
14. Your Behavior
All guests must follow local laws, respect cultural sites, and cooperate with your guide. We may end your trip with no refund if your behavior affects others' safety or experience.
15. Itinerary Flexibility
Small changes to routes, hotels, or timing may happen due to local conditions. We’ll always aim to deliver your planned experience with the best alternatives if needed.
16. Optional Activities
You may add extra activities (e.g. spa, diving). These are not included and are arranged at your request. We are not liable for third-party services.
17. Our Responsibility
We use trusted hotels, guides, and suppliers. We are not liable for:
- Third-party errors or issues
- Lost items or delays
- Personal injury from activities outside your tour
Our total liability is limited to the amount you paid us.
18. Feedback & Complaints
Please contact your guide or us immediately if something goes wrong. If it remains unresolved, email us at admin@ayubowanescapes.com within 14 days of your trip ending.
19. Law & Jurisdiction
These terms are governed by Sri Lankan law. Any disputes will be handled by courts in Sri Lanka.
